Privacy Policy

How BTT Byraveshwara Tours & Travels collects, uses and protects personal data — and what you can ask us to do with it.

We collect what we need to move people safely and bill for it accurately, and not much else. This page sets out exactly what that is, who sees it, how long we keep it and what you can ask us to do with it.

1. Who We Are

This policy explains how Byraveshwara Tours & Travels (“BTT”, “we”, “us”), registered at #259, Navya Layout, Hennagara (P), Jigani, Anekal Taluk, Bengaluru, Karnataka – 560105, handles personal data.

It covers passengers who travel with us, corporate and institutional clients who book us, visitors to this website, and people who apply to drive for us. It sits alongside our Terms & Conditions, which govern the transport service itself.

For most of the data described here BTT is the Data Fiduciary — we decide why and how it is processed. Section 4 describes the one common situation where that is not the case.

2. What We Collect

We collect only what we need to move people safely and bill for it accurately.

Information you give us

  • Enquiry form — name, work email, phone number, company name, the service you are interested in, approximate headcount and anything you type into the message box.
  • Driver application — name, phone number, area or locality, email if you give one, licence type, years of driving experience and your free-text notes. If your application progresses we will also ask to see your licence, badge, Aadhaar, PAN, address proof and police verification.
  • Newsletter — your email address, and nothing else.
  • Phone, email or a walk-in — whatever you choose to tell us in the course of arranging transport.

Information generated by the service

  • Trip records — pick-up and drop points, timings, route, vehicle and driver assigned, and whether the trip ran as scheduled.
  • Vehicle location — our vehicles carry GPS units. While you are aboard, the vehicle's location is also, in effect, yours. Location is retained for [ retention period ].
  • Billing records — invoices, payment references and the trip data they are calculated from.
  • In-vehicle recording — whether a vehicle carries a camera or dashcam, what it records and how long footage is kept: [ cameras: confirm ].

What we do not collect

This website runs no analytics, advertising or tracking scripts, and sets no cookies of its own. See section 8.

3. Why We Use It

  • To provide the service — plan routes and rosters, allocate a vehicle and driver, run the trip and confirm a safe drop.
  • To keep people safe — monitor vehicle movement during a trip, respond to an incident, and investigate a complaint afterwards.
  • To bill accurately — produce invoices and answer queries about them.
  • To answer you — respond to an enquiry, a quote request or a driver application.
  • To meet legal obligations — transport, tax and employment records we are required to keep.

We do not sell personal data. We do not share it for anyone else's marketing. We do not use trip or location data to build profiles of passengers.

4. Employee Transport: Who Is Responsible For What

When a company engages us to move its staff, the company gives us the employee details we need to build the roster — typically name, phone number, pick-up address and shift timing.

In that arrangement the employer decides what is collected and why, so the employer is normally the Data Fiduciary and BTT acts on its instructions. If you are an employee travelling on a route your company has arranged, ask your employer first about how your address and shift data are handled — that is their disclosure to make. We will still help with anything concerning the trip itself.

Where you book us directly, BTT is the Data Fiduciary and this policy applies in full.

5. Who We Share It With

We share personal data only where there is a reason to:

  • The driver on your trip — the pick-up point, drop point and a contact number, so they can reach you if the vehicle is delayed or cannot find the address.
  • Your employer or institution — where they are paying, they receive trip and attendance records for the routes they have contracted.
  • Service providers — the vendors behind our GPS units, IT systems and accounting, who may process data on our behalf under contract. Current providers: [ list vendors ].
  • Authorities — police, transport or tax authorities where the law requires it, or after an incident.
  • Insurers and legal advisers — in connection with a claim or dispute.

Personal data is held on systems located in India. We do not currently transfer it outside India. If that changes, this policy will be updated first.

6. How Long We Keep It

  • Enquiries that do not become bookings — [ retention period ].

  • Billing and tax records — as long as tax and company law require, currently [ retention period ].
  • Unsuccessful driver applications — [ retention period ], then deleted.
  • Newsletter subscriptions — until you unsubscribe.

When a retention period ends the data is deleted or anonymised so it can no longer be traced back to a person.

7. Children's Data

We carry students on school routes, which means we handle personal data of children. We treat it with more care than anything else we hold.

  • A child's details reach us from the school or the parent, and we use them only to run that child's route.
  • We rely on the consent of a parent or guardian, obtained through the institution, before carrying a child.
  • Pick-up and drop notifications go to the parent or guardian and to the school — to nobody else.
  • We do not use children's data for advertising, profiling or behavioural monitoring of any kind.

Parents and schools can ask us at any time what we hold about a child and have it corrected or deleted, subject to the safety records we are required to keep.

The Act restricts tracking and behavioural monitoring of children, so the basis on which a school vehicle carrying children is GPS-tracked, and the parental consent record the school holds, both need confirming: [ s.9(3) basis ].

8. Cookies And This Website

This website sets no cookies of its own. It runs no analytics, no advertising pixels and no session tracking, and it does not build a profile of you for visiting.

Two third parties serve files to your browser when a page loads, and each will see your IP address as a normal part of delivering them:

  • Google Fonts (fonts.googleapis.com, fonts.gstatic.com) — the typefaces used across the site.
  • jsDelivr (cdn.jsdelivr.net) — the Bootstrap stylesheet, script bundle and icon font.

Neither is under our control, and each has its own privacy policy. If analytics or any other tracking is added to this site later, this section will be updated and a cookie notice added before it goes live.

9. How We Protect It

Access to trip, roster and billing data is limited to the operations and accounts staff who need it. Driver documentation is held on file for the compliance purpose it was collected for and is not circulated.

No system is perfectly secure, and we will not claim otherwise. If a breach occurs that is likely to affect you, we will notify you and the Data Protection Board of India as the DPDP Act requires.

10. Your Rights

Under the Digital Personal Data Protection Act 2023 you may:

  • Ask what we hold about you and why, and who we have shared it with.
  • Have it corrected if it is wrong, incomplete or out of date.
  • Have it erased where we no longer need it for the purpose it was collected for and no law requires us to keep it.
  • Withdraw consent at any time, as easily as you gave it. Withdrawing it may mean we can no longer carry you.
  • Nominate someone to exercise these rights on your behalf if you die or become incapacitated.
  • Complain to us first, and to the Data Protection Board of India if we do not resolve it.

To exercise any of these, contact our grievance officer in section 11. We will respond within [ response time ]. There is no charge.

The DPDP Act requires a named grievance officer whose contact details are published. A general enquiry address is not enough, so the blanks above have to be filled before this page goes live.

12. Changes To This Policy

If we change how we handle personal data, we will update this page and move the version and date at the top. Where a change materially affects you, we will tell you directly rather than rely on you noticing.
